This page explains what information Robo Portraits collects, why, and what we do with it. Robo Portraits is operated by RoboPortraits Inc., based in Winnipeg, Manitoba. If you have a question about your information, email hello@roboportraits.com or call 204-819-7708.
Photos taken at our events
Taking part is always your choice. If you’d like a portrait, our attendant takes your photo at our tablet, and our portrait software uses it to create the drawing the robot draws.
- Where photos are stored: on our event laptop, and on the cloud servers of our portrait software, which is provided by our equipment supplier. Those servers may be located outside Canada.
- How long we keep them: we delete photos from our laptop and from the cloud within 30 days after the event. If you’d like yours deleted sooner, email us.
- How we use them: only to make your portrait and, if requested, your digital copy. We don’t sell photos, and we won’t post them or use them in our advertising without permission.
- Children: parents or guardians decide whether a child takes part.
Digital copies
If digital copies are arranged for your event and you ask for one, we email your portrait to the address you give us. We use that address only to send your copy, unless you also choose to receive our news.
When you send an inquiry
When you fill in our inquiry form, email or call us, we collect what you share: usually your name, email, phone number, event date, location, event type and guest count. We use it to reply, prepare a quote, plan your event and keep business records. We keep inquiry details in our email and customer management system (CRM).
Email news
We only send you news and offers if you tick the box on our form or otherwise ask to receive them. Every email includes a way to unsubscribe, and you can also email us to stop at any time.
Our website
We use Google Analytics to understand how people find and use our website, such as which pages are visited and roughly where visitors come from. It uses cookies and doesn’t tell us who you are. You can block cookies in your browser settings, or use Google’s opt-out browser add-on.
Who else handles information for us
We use a few service providers to run the business: our website host, our email and CRM providers, Google Analytics, and our portrait software supplier. They handle information only to provide their services to us. We don’t sell personal information.
How long we keep information
Event photos: deleted within 30 days after the event. Inquiry and booking details: kept as long as we need them to provide our service and to meet legal and accounting requirements.
Your choices
You can ask to see the personal information we hold about you, correct it, or have it deleted, where we’re allowed to. Email hello@roboportraits.com and we’ll reply within one business day.
Changes to this page
If we change how we handle information, we’ll update this page and the date at the top.
